Special and preconfigured fields in Dash

Learn about built-in fields that can enhance your workflows

One of the ways Dash makes organising and finding your assets easier is via fields. Fields let you store specific information about your assets in easy to navigate ways, such as a dropdown list of product names or year of campaign.

You can create your own custom fields, and we also include a number of built-in preconfigured fields for common uses, some of which have additional functionality attached to them.

Now we'll look at the special fields that are available in Dash.

How to add a preconfigured field to your Dash


To add a special field to your Dash:

  1. Navigate to Admin > Fields

  2. Click New field

  3. Choose a special field from the list of preconfigured fields

SKU

The SKU field is a Tags field that is used to store your products' SKUs.

Special functionality: The SKU is used by our Shopify integration to match assets you are exporting from Dash with the correct product in Shopify. Learn all about exporting assets to Shopify in this article.

Auto tags

By adding the Auto tags field to your Dash, Dash will add tags to this field for every asset you upload, containing descriptive tags based on the image. So, if you upload an image of a boy running in a park playing with a ball, you'll get tags like "boy", "ball", "park" etc.

Note 1: Tags will only be added to assets that you upload once you add this field. If you would like existing assets to be tagged, get in touch via the in-app chat and we can do this for you.

Note 2: Our natural language AI search works regardless of any tagging, so if you're happy just using that, you don't need to also use auto tags.

Creator

The Creator field is a tags fields that allows you to store who originally created an asset, for example the name of the photographer or designer.

Special functionality: The field will use embedded metadata mapping look at relevant embedded information in the file and automatically populate the field with any creator information it finds.

Rating

The rating field comes preconfigured with ⭐️ values to help you store how well an asset has performed, to help future users find assets that meet their publishing goals.

Special functionality: this field uses embedded metadata mapping to find any existing rating information already embedded in your assets and populates itself with this data if found.

Description

A text field that can be used to store any descriptive information about your assets

Expiry date

A date field that lets you capture when an asset should no longer be used.

Special functionality: Dash will alert users if they are about to use an asset that has expired. Learn more about expiry dates in this article.

Release date

A date field that lets you capture a date before which an asset should not be used.

Special functionality: Dash will alert users if they are about to use an asset that is not yet approved to be used. Learn more about release dates in this article.

Licensed for use

This checklist field lets you store where an asset can be used.

You can customise the values to suit your needs.

Type of content

This checklist field lets you capture the type of content of the asset, e.g. a packshot, a brochure etc

Address lookup

This text field automatically populates with a descriptive address of an asset based on the asset's embedded GPS data.

Special functionality: Uses embedded metadata mapping to extract the GPS co-ordinates from an asset and displays a friendly address.

Note addresses will only be populated for assets you upload after adding this field. To have existing assets populated with an address, get in touch via the in-app chat and we can do this for you.
