How can I analyse portal usage?

When you have a portal for external users such as your retailers or clients, you may want to know which assets are being downloaded, when, and in which format. This is something you can easily do in Dash.

Analyse all your portals at once

  1. Go to either:

    1. Admin > Portals > "View activity"

    2. Admin > Account > View download activity > "x from portals" button
      ​

  2. You'll now see a breakdown of metrics for all your portals together, including:

    1. A chart showing total assets from all portals over time:

    2. Downloads by portal, so you can compare which portals are being downloaded from the most:

    3. Download events for all portals, so you can see all download events across all portals in one place:​

Analyse activity for an individual portal

  1. You can either:
    ​
    - From the portals overview page outlined above, click on the individual portal name as shown in step b above.
    ​or
    - Go to Admin > Portals > "View activity" on the portal you want to look at
    ​

  2. You'll now see a breakdown of your portal analytics! This will include:
    ​

    1. A chart showing when assets were downloaded and how many:

    2. A summary table of your most downloaded assets (based on the timeframe you've selected at the top of the page). You can click into each row to see that asset's performance over time and which sizes it was downloaded in.
      ​

    3. Individual download events with extra details
      ​and

    4. A visual to show you, overall, what size assets have been downloaded in:
      ​

Can I see who is downloading my assets from the portal?

Unfortunately, this is not possible, and will not likely be possible due to how portals work. The purpose of portals is that they allow any external users with a link to access them, and that a log-in isn't required. Due to a log-in not being required, it's not possible to gather any individual user data.

If you'd like to share Dash assets with specific people and track who has downloaded them, considering giving them a Dash log-in (all our latest plans come with unlimited users!) and only giving them access to certain folders with "Basic" permissions. More info on that can be found here.
