You can can simply move your files to a dedicated archive folder and set permissions so only the right people can access them.
1) Create the archive folder.
You'll simply use a regular Dash folder for this. You can create a new folder in several places in Dash:
👉 In "browse" or "all assets" view > Filters > Folders > Create new folder
👉 When bulk editing assets, you can create a folder in the folders section on the right hand side.
Give your Dash folder a name that makes it clear it's an archival folder, such as Archive or Archived content - do not use
2) Assign the relevant assets to your archive folder.
You can do this when viewing a single asset by selecting the archive folder on the right hand side of the asset view, or by bulk-editing assets.
3) Adjust Permissions – Set folder permissions so that only specific team members can view the archive folder. For example:
a. If you only want admins to have access to the folder, make sure anyone who is a contributor or a basic user doesn't have this folder available to them in any groups that they're in. For example, if most of your Contributors are in the "Contributors all folders" group, you may want to amend the folders in this group so that "Archive" is unselected.
b. If you want certain contributor or basic users to have access, you can edit group permissions in a similar way.
Note: All admin users will always have access to all folders, so it won't be possible to hide the archive folder from any admins. If you'd like to do restrict an admin user from viewing this folder, you'll need to consider changing their user level to contributor or basic.
That’s it! Your archived assets stay safe, organized, and out of the way—while remaining accessible when needed.
