Organise your Dash using AI

Get a personalised structure recommended by Fin, our AI assistant.

Whether you're setting up Dash for the first time, migrating from another system or simply tidying up your existing Dash, Fin can help you figure out how best to organise your assets.

Just tell Fin a little about your business and how you work, and it'll recommend how to structure your Dash using:

📁 Folders: To group assets together, particularly when you need to separate them for permissions, portals or guest upload links.

🏷️ Fields: To describe your assets using information like product name, campaign or region, making them easier to find using filters.

Fin can suggest which folders and fields to create, including example field options, and help you avoid unnecessarily complicated folder structures.

No technical knowledge needed! Fin can explain everything as you go. And he's available 24/7! (It's ok, we feed him lots of overpriced coffee to keep him going...he's fine, he loves it... )

💬 How to get started

  1. Click the chat icon in the bottom-right corner of your Dash:

2. Select Messages → Send us a message

3. Select I have a general question about Dash :

4. Tell Fin about your business, the assets you manage and how your team uses them. The more context you give, the more useful Fin's suggestions will be. For example:

  • How are your assets currently organised?

  • How do people search for and use them?

  • Which teams, partners or customers need access?

  • Are you migrating from another system or improving an existing Dash?

You can even copy and paste your current folder structure into the conversation!

Then ask for a recommend structure.

Not sure what to say? Try one of the prompts below. 👇

👩‍💻 Example prompts to try

1. If you're moving from another system

Coming from SharePoint, Dropbox, Google Drive or another DAM? Fin can help you translate your existing structure into Dash.

We're moving from [system] to Dash. We're a [type of business] managing [types of assets].
Here's our current folder structure: [paste your folders or share screenshots].
Can you recommend how to organise this in Dash, including folders, fields and field options? Please suggest which folders could be replaced with fields to keep things simple.

2. If you're starting from scratch

Don't have an existing structure? No problem!

We're a [type of business] setting up Dash for the first time. We store [types of assets], which are used by [teams/external partners].
People typically need to find assets by [product, campaign, region, etc.].
Can you recommend a folder and field structure with example options? Feel free to ask me questions to help make better recommendations.

3. If you want to improve your existing Dash

Already using Dash but finding your structure a little messy?

I'd like to review how our Dash is organised.
Our current folders are [list folders] and our fields are [list fields]. [Or share screenshots.]
We're struggling with [e.g. too many subfolders or difficulty finding assets].
Can you suggest what to keep, change or simplify, including whether any folders would work better as fields?

💡 Keep the conversation going!

You don't have to get everything right in your first message. Once Fin has suggested a structure, you can refine it together.

Here are some useful follow-up questions:

  • "Can you write out the full folder structure, including subfolders?"

  • "Can you recommend field types and example options?"

  • "Can you simplify this? I don't want too many fields."

  • "Can you show me how a real asset would fit into this structure?"

  • "We share assets with external dealers. Would this change your recommendations?"

Our tip: Ask Fin to show you an example of how one of your actual assets would be organised. This makes it much easier to picture the proposed structure in practice!

👀 What might Fin suggest?

Let's say you're moving from SharePoint, where your assets are organised like this:

Current folder structure:

  • Campaigns

    • Summer 2026

      • UK

        • Social Media

          • Instagram

            • Approved

            • Drafts

There's nothing necessarily wrong with this, but it means navigating through lots of folders to find a particular asset.

Fin might suggest something like:

📁 Folders

  • Campaigns

  • Product Library

  • Brand Assets

🏷️ Fields

Field

Example options

Campaign

Summer 2026, Christmas 2026

Region

UK, US

Channel

Social Media, Email, Website

Platform

Instagram, Facebook

Status

Approved, Draft

Now, instead of navigating through multiple folders, your team could use Dash's filters to find assets that match:

Campaign: Summer 2026 + Region: UK + Status: Approved

Much easier!

This is just an example. Fin's recommendations will depend on your business, how you use your assets and any access requirements you have.

💡 Keep the conversation going!

You don't have to get everything right in your first message.

Once Fin has suggested a structure, you can ask follow-up questions to make it even more useful.

For example:

  • "Can you write out the complete folder structure with subfolders?"

  • "Can you recommend the best field types, such as tags, checklists or dropdowns?"

  • "Can you give me some example field options for each field?"

  • "Can you simplify this? I don't want too many fields."

  • "Can you show me how a typical asset would be organised using your suggestions?"

  • "We need to share some assets with external dealers. Would that change your recommendations?"

Our tip: Ask Fin to show you how a real asset from your business would fit into its proposed structure. This can make it much easier to visualise how everything will work!

❓ Frequently asked questions

Do I need to know how folders and fields work before asking Fin?

Not at all! Fin can explain the difference, help you decide which to use, and point you towards relevant Help Center articles.

Can I use Fin if I've already set up my Dash?

Absolutely. Fin isn't just for new customers. You can ask it to review your existing structure, suggest improvements or help you work out how to organise new types of assets.

Just share some details about your current setup so it has something to work from.

Do I need to share my entire folder structure?

No. You can start by describing your main folders or sharing one section as an example.

If you have a complicated structure, you can share it in stages and ask Fin to build on its recommendations.

Will Fin make these changes in my Dash automatically?

No. Fin will suggest a structure for you to review and put into place yourself.

Its recommendations are a starting point, so make sure they work for your team's needs, particularly when it comes to permissions and sharing assets externally.

However, we are launching our MCP server soon which will make this possible. Check our Roadmap for updates.

Do I need to reorganise everything before migrating to Dash?

Not necessarily! You can bring assets into Dash first and organise them afterwards.

Our Getting Started Guide for Admins has more advice on importing and organising assets.

What if I still need help?

If you'd like a human to review Fin's recommendations or answer any further questions, simply ask Fin to connect you with our support team.
