How to use a portal to find the assets you need

If you've been given access to a Dash portal, you're in the right place to easily browse and download the assets you need. Portals are designed to make navigating a collection of digital content simple and intuitive, even if you're not familiar with Dash itself.

Here’s how to make the most of your portal experience:

🏡 Homepage

This is what you'll see when you open your portal. From here, you can use the search bar to find specific assets, or go straight to browsing specific folders.

🗂 "Browse" view

This enables you to visually browse your assets, either by folder or by field (an attribute that your admins will have set up, see the examples below - "approve for use", "plant category" etc).

Think of this as similar to browsing by folders on your local drive or Google Drive.

🔎 Using “All Assets” to Search

Looking for something specific? Head to the All assets view. This gives you a flat view of your assets, rather than the more organised view that "Browse" provides. From there, you can use the filters (see next section for more details) and/or the search bar at the top to narrow down to the specific assets that you need to find.

🎯 Narrow Down with Filters

Too many results? No problem. Use the filters on the left-hand side to refine your search. These can be used both on the Browse tab or the All assets tab.

Using our example portal for our fictional "Planto" brand, you can see that it's possible to filter by options such as:

  • Folders (this is available by default in all accounts)

  • Approve for use (a custom field)

  • Plant Name (a custom field)

  • Plant Category (a custom field)

  • File Type (a custom field)

So if we wanted to find an asset containing a small plant that is approved for use on social media, we can use filters to do this:

In your portal specifically, you'll be able to see "Folders", as well as other default filters that come with all Dash accounts, but you'll also be able to see any custom fields that will have been set up by your account admin, that are specifically useful to you.

Each portal might have slightly different filters depending on how it’s set up - but they’re all there to help you quickly pinpoint the right asset.

🚀 What you can do with assets in your portal

When clicking on an asset, you'll be taken to the single-asset view:

From here, you'll be able to do several things, such as:

  • Look at assets in full and see information about those assets. For the asset above, for example, we can see where it's approved for use, which folder it's in, and which plant category it contains.

  • If your admin has switched on this functionality, download assets in their original format or in pre-set sizes. You can do this by clicking the download icon on the top right of the asset.

If you're having trouble finding a specific asset, we recommend reaching out to your contact at the organisation that shared the portal with you they'll be able to guide you or update the portal if needed.

❓Frequently Asked Questions

I can’t find the asset I’m looking for. What should I do?

First, try switching to the All assets view and use the search bar. You can also apply filters to narrow your results. If it’s still not showing up, the asset may not be included in the portal or your access might be limited - reach out to the account contact for help.

Why can’t I download anything?

Not all portals allow downloads. If you don’t see a download button, it’s likely that downloads haven't been enabled for that portal. Get in touch with your account contact if you think this is an error.

Can I share assets with other people?

Whilst there's no direct share button, you can copy and paste the URL of the individual asset (or of the entire portal) in order to share it with other people. One caveat to this is if the portal is password protected, that person will need to know the password in order to access the assets. It may be therefore be worth checking with your account contact before sharing sensitive assets.

Do I need a login to use the portal?

Some portals require a password, while others are completely public. If you’ve been sent a portal link and you’re being asked to enter a password, check with your contact for the correct access credentials.
