Converting one set of fields to another

Sometimes, you'll create a field in Dash and realise that you'd like to change it to a different type of field. For example, you may have created a Tags field, but realised that you'd actually prefer Controlled tags (explore the links to find out why).

Say you currently have Tags set up for primary image colours, here's an example:

Now, you want to change these to Controlled Tags instead.

There are two ways to do this:

  • In-app - suitable when the number of tags you want to update is relatively small (e.g. less than 10-20)

  • Via a metadata import - suitable when you need to convert a large number of tags from one field type to another

Here's how to do this in Dash.

Method 1 - in-app

  1. Create your new field with the required field entries (In this example, we're also going to group the colours, as this is one of the benefits of Controlled Tags):

  2. Next up: replace your old field variable with your new ones

    1. Go to your filters, and filter by the first field variable you want to replace, e.g. "Green". Select all the assets and the click the pencil icon to edit.

    2. Now, select the corresponding variable ("Green") from your new field. This will apply the new field variable to all the selected assets.

    1. Remove the old field variable by clicking the cross next to its name (or, if you're going to be deleting the entire field, you can skip this bit and delete the entire field afterwards).

    2. Repeat for all other field entries.

    3. Now, you're done!

Method 2 - via a metadata update

You can use our metadata export and import features to update a lot of assets in one go. You do this by preparing a spreadsheet with the right information and uploading to Dash - Dash then applies all the updates to your assets in one go.

To convert one field to another via a metadata update:

  1. Modify the export sheet with the desired changes, for example:

    1. Create a new column for the new field you want to move existing data to

    2. Copy the data from the existing field column into the new field column

    3. Remove any unnecessary columns and ensure the sheet is formatted as per our formatting guide (see link below)
